About the Role
The Junior HR Operations Specialist plays a key role in executing and supporting HR Ops administrative processes throughout the employee lifecycle. This role ensures accurate and timely management of onboarding, offboarding, and internal changes, while maintaining data accuracy and supporting day-to-day compliance administrative tasks.
The Junior HR Operations Specialist is responsible for delivering high-quality employee support and maintaining updated documentation. This position ensures that People procedures run smoothly, employee records are well maintained, and internal queries are resolved efficiently and in line with internal policies and labor regulation.
Key responsabilites
- Employee Lifecycle Management (Onboarding, Offboarding & Internal Moves)
- Execute onboarding and offboarding processes end-to-end, together with the internal movements, following established frameworks, coordinating with all relevant stakeholders, and ensuring documentation is complete, accurate, and submitted on time.
- Keep lifecycle-related materials up to date (guides, checklists, templates, communications) so that new joiners, managers, and HR stakeholders always have access to clear and current resources at every stage of the employee journey.
- Systems Management (Personio & Jira)
- Maintain employee records in Personio with high accuracy, processing all data changes (new hires, leavers, internal moves, contract updates) within established timelines and quality standards.
- Track and monitor document requirements and other People records as time tracking management to ensure compliance with internal policies and national labor laws.
- Manage employee requests in Jira within SLAs, providing clear and accurate responses, and flagging recurring issues or patterns for systemic resolution.
- Support the testing and rollout of new workflows or system configurations, contributing to continuous platform improvement through detailed feedback and issue tracking.
- Employee Queries & HR Ops Process Compliance
- Handle day-to-day HR Ops queries from employees with clarity and accuracy, following established protocols and escalating complex or sensitive cases.
- Apply established workflows and internal policies consistently across all tasks, flagging any deviations, ambiguities, or gaps.
- Monitor personal response times and resolution quality, actively working to improve speed and accuracy in addressing employee requests.
- HR Ops Documentation Management & Compliance
- Maintain organized, secure, and up-to-date employee records, contracts, and change logs in full compliance with legal and internal requirements, ensuring nothing falls through the cracks.
- Execute internal data checks and audit preparation tasks, verifying documentation integrity and flagging any gaps or inconsistencies for timely resolution.
- Contribute to the upkeep of internal HR documentation and self-service resources, keeping existing materials current so employees can find answers without needing to reach out.
- People Automation & Process Optimization
- Flag opportunities for improvement in workflows and communication with other People teams.
- Support the implementation of standard operating procedures.
